Our client needed to migrate their division’s content from the parent company’s tenant to a new, standalone tenant after the sale of the division. The project focused on separating data and systems while ensuring a seamless transition with minimal disruption to business operations. This involved setting up new SharePoint Online environments, migrating content, configuring permissions, and guaranteeing continued access for users after the migration.

CHALLENGES:

The project faced several key challenges. Tenant separation involved isolating the division’s content and user access from the parent company while ensuring data integrity. Content migration required accurately transferring a significant volume of files, lists, and libraries to the new tenant. Additionally, reconfiguring permissions was essential to ensure users maintained appropriate access post-migration. Tight timeline constraints necessitated swift completion of the migration to comply with the sale agreement and minimise downtime. Finally, effective user training was crucial for maintaining productivity in the new environment.

SOLUTIONS:

Tenant Setup: A new SharePoint Online tenant was established and configured to meet the client’s specific requirements, including tailored security and compliance settings.

Discovery, Analysis and Migration: A comprehensive analysis of the existing content was performed to identify migration needs, focusing on permissions, metadata, and version history, while a phased approach was adopted for migrating content from the parent company’s tenant to the new tenant, ensuring data integrity and minimising disruption to users.

Permissions and Access Configuration: Permissions were reconfigured in the new tenant to guarantee that all users retained appropriate access to their files and resources following the migration.

User Training and Support: Training sessions were conducted for key users to familiarise them with the new environment, complemented by ongoing support during and after the migration to address any arising issues.

The Result

The client transitioned their division’s content to a new SharePoint Online tenant, ensuring business continuity. This separation allowed full control over content management and permissions. The migration was completed on schedule, enabling independent operation without disruption, while ongoing support and training maintained productivity and efficiency.
