CASE STUDY: Migration Project to SharePoint Online Intranets

Project Background

Our partner faced the challenge of transitioning from Jive, as support for that platform was being discontinued. With existing licenses for SharePoint, the decision was made to migrate to SharePoint Online, aiming to create a unified intranet that serves nine regions and enhances collaboration across diverse teams. This project involved designing templates, analysing existing data, and implementing region-specific SharePoint portals with localised language packs.

CHALLENGES:

The project involves several key components: designing a cohesive and user-friendly template for multiple regions, conducting a thorough analysis of existing Jive content to determine migration needs, and implementing SharePoint Online communication portals tailored to each region’s specific requirements and languages. Additionally, it includes efficiently migrating content from Jive to new Department Team Sites with minimal disruption and providing comprehensive training resources and ongoing support to ensure a smooth transition for end users.


SOLUTIONS:

SharePoint Template Design: Created standardised templates to ensure a consistent look and feel across all regional portals.

Discovery and Analysis: Conducted a detailed analysis of existing Jive content, classifying data for efficient migration and future accessibility.

SharePoint Architecture: Designed a robust SharePoint architecture to support the new intranet environment, incorporating best practices for data classification.

Implementation of Communication Portals: Launched SharePoint Online communication portals for all nine regions, complete with region-specific language packs to enhance user experience.

Content Migration: Collaborated with Threewill to facilitate the migration of content from Jive into the newly established Department Team Sites, ensuring accuracy and completeness.

Training Resources: Developed training videos and conducted Train-the-Trainer sessions to equip key personnel with the skills necessary to support their teams.

By migrating to SharePoint Online, the organisation successfully established a modern, collaborative intranet environment that caters to the unique needs of each region. This initiative not only streamlined communication and content management but also fostered greater collaboration among teams.
